Great Parks is seeking a detail-oriented self-starter to serve as the Events Coordinator for its events and experiences. The Events Coordinator owns the logistical execution of Great Parks’ portfolio of special events, milestone celebrations, and external sponsorship opportunities.
As a key member of the Special Events team, you will help captivate local and regional audiences by helping to craft unique, large-scale outdoor experiences through sourcing/contracting vendors, day-of-event coordination, purchasing and maintaining event supplies/decorations, and engaging a wide-array of audiences at select external community celebrations.

The successful candidate will do the following:
- Executes event plans and logistical responsibilities of special events, milestone events, and community partner events on and off park district property. Tasks including, but not limited to, organization of event supplies and storage facilities pre- and post-event, packing and unpacking of supplies, set-up and tear-down, decoration of event areas and maintenance of equipment. Responsible for communication and coordination of tasks and training for part-time staff and volunteers.
- Provides oversight and direction regarding work tasks to part-time employees and volunteers. Refers all disciplinary issues to the Director of Events.
- Accounts for cash transactions, collects and deposits program and event fees. Complies with all cash handling policies and enforces cash control procedures, including POS operation, daily deposits, shift/change tills, required logs, and cash audits.
- Purchases event supplies and equipment as assigned. Submits purchase requests. Adheres to purchasing card procedures and submit expenditures for supervisor approval. Helps to track expenses and revenue to ensure events are executed within approved budget limits.
- Maintain exhibits, displays, equipment and facilities. Refers major repairs or event site issues to appropriate internal divisions or contractors.
- Represents Great Parks in a positive manner; provides general park information and answers inquires as needed.
- Supports community engagement coordinator in distributing event promotional pieces throughout Great Parks facilities, sponsors, and partners of event locations.
- Sources and schedules rented assets, entertainment, food trucks, etc., and ensures all proper licensing, insurance, and contract requirements are received in accordance with Great Parks policies. Provides administrative support for vendor contracts, ensuring timely procurement of necessary licenses and insurance while maintaining organized documentation.
- Researches and secures a variety of vendors tailored to specific events and in alignment with event strategy, helping to build and maintain a comprehensive vendor library as needed.
- Helps the Director of Events with budgetary considerations, quotes, and future planning, providing necessary documentation and support.
- Performs other job duties as assigned.
- Maintains confidentiality of confidential and sensitive information.
- Works assigned schedule, exhibits regular and punctual attendance, and works outside of normal schedule as required, including evenings, weekends, and holidays.
QUALIFICATIONS
An appropriate combination of education, training, course work and experience may qualify an applicant to demonstrate required knowledge, skills, and abilities. An example of an acceptable qualification is:
- A minimum of 1 year of experience working in event planning, community engagement, customer relations, or related role is required. Bachelor’s Degree in hospitality, event management, marketing, communications, business administration, or related field from an accredited university is preferred.
- Ability to document identity and employment eligibility within three (3) days of original appointment as a condition of employment in compliance with Immigration Reform and Control Act requirements.
LICENSE OF CERTIFICATION REQUIREMENTS
State Motor Vehicle Operator’s License that meets GPHC current carrier guidelines.
